Guidelines for Researchers


In order to safeguard the collections, researchers are requested to observe the following guidelines:

Library Registration

  • Use of the Library by non-members is by appointment only. Readers must identify themselves to the front desk attendant when they enter the Club.
  • All readers are asked stow coats, bags, packages, briefcases, hats and umbrellas in the coat room lockers, which are available at no cost. Tokens are supplied at the front desk. Only necessary paper, laptop computers, and reference materials are permitted in the main reading room.
  • Non-member readers are asked to present a picture I.D. and complete an application form available from the Librarian. Requests are limited to five items at a time; more items may be retrieved only at the discretion of the Librarian.
  • Belongings may be subject to search before leaving and must be retrieved by 5 p.m.
Use of Materials

  • Materials do not circulate and must not be removed from the main reading room.
  • All readers are asked to use pencil; pens are prohibited. Pencils are available in the main reading room. Do not mark, erase, lean on, write on or trace any materials.
  • Items in envelopes or folders must be kept in the order they are arranged. Please advise the Librarian of misplaced or missing items.
  • Some collections or parts of collections may contain restricted materials. Application forms for permission to use restricted materials may be obtained from the Librarian.
  • Readers are advised to leave Library materials on the reading room table or book cart; they will be re-shelved by Library staff.

Photocopying Services

  • Materials may be copied only by the Library staff, and readers will be charged for copies according to the current Library photocopying services rate. Some materials may not be photocopied at all, including rare books, folios, fragile materials, and oversize and bound manuscripts. Consult the Librarian regarding possible alternatives, including photography.
  • At the discretion of the Librarian, the Library responds to requests for limited photocopying received via mail, email (fpena@grolierclub.org), or fax (212-838-2445).
  • The Library will reproduce copyrighted material only within the principle of "fair use," and the patron shall assume all responsibility in questions regarding copyright of Library materials.

Circulation Policy

The Grolier Club Library does not participate in interlibrary loan. Library collections do not circulate, and all materials must be used in the Library reading room. Portions of some materials may be made available through photocopying (see "Photocopying Services" above).

Off-Site Storage Requests

Readers wishing to consult materials housed in off-site storage are advised to make requests 72 hours in advance to allow for delivery to the Grolier Club. Readers may be asked to reimburse the Grolier Club for courier costs and other delivery charges.
