Provenance: Items in this collection were created by members or staff of the Grolier Club in the course of regular Club activities. These items were found boxed as a discrete collection by the archivist in 2017; it may have been removed from a group of similar material of deceased member files (now RG 8, Series I) for reasons unknown.

Biographical/Historical Note: The procedure for the election of new members to the Grolier Club which emerged soon after its founding in 1884 was that two persons propose any candidate to the Council (governing board) which then voted on the name(s) at its meetings. (References to a Nominating Committee refers to a committee charged with nominating elected members to the Council.) Requests to be considered for membership came variously addressed to the club in general, to the elected Secretary and to the Council itself. Some of the routine correspondence relating to membership inquiries and procedures were answered by the Curator (a staff position charged with the day-to-day running of the club and with general correspondence) until the position was discontinued in 1958.

The above routines continued until 1970 when a Committee on Admissions was established to oversee the admissions process. Per this process, the Committee requires formal proposal letters from members in good standing proposing a candidate, as well as three supporting letters from other members. The Committee then meets with the candidate and makes a recommendation to the Council for a final decision.

 

Scope and Content Note: Correspondence, announcements, and related materials pertaining to the proposing and election of members to the Grolier Club. The bound volume entitled “Proposed Members” provides a continuous record from 1884 to 1941. Folder titles (maintained when the collection was reprocessed in 2017) reflect changes in the organization of these materials through the years. “Admissions correspondence” includes letters from current members proposing candidates, as well as letters from the candidates accepting or declining membership; after 1895, these are filed separately as “Membership Proposals” and “Acceptances and Resignations” respectively. “Member Correspondence” includes any correspondence with members not related to their initial nomination, including meeting attendance and dues payment. There may be some overlap within these files. Note that the content of this collection is very similar to that of RG 8, Series I: Member Files (see provenance note).
